1. What is the Manage Roles Page?
The Manage Roles page allows administrators to define and manage user roles within TitanFile.
Roles control what users can see, access, and perform across the platform, including channel actions, security policies, and administrative capabilities.
This page is where you configure Role-Based Access Control (RBAC) to ensure the right users have the right level of access.
2. How to Access the Manage Roles Page
To reach the management dashboard:
- Log in to your TitanFile account
- Click Settings in the left-hand navigation menu
- Select Manage Roles
3. What Do You See on This Page?
When you open the Manage Roles page, you will see a table with three columns:
A. Custom
- A green checkmark indicates the role is custom-created
- Custom roles can be edited or removed (Enterprise only)
B. Role Name
- Displays all available roles
- Includes default roles such as:
- Admin
- Standard User
C. Action
Each role includes one or more of the following actions:

View
- Available for default roles (Admin and Standard)
- Allows users to view permissions but not edit

Edit (Enterprise only)
- Allows modification of a custom role

Remove (Enterprise only)
- Deletes a custom role
4. What Can You Do Here?
From this page, you can:
- View default roles and their permissions
- Create new custom roles
- Edit or remove existing custom roles (Enterprise only)
- Assign roles to users (via Manage Users)
Create New Role
- Click New Role to create a custom role
- You will be taken to the role creation page where you can:
- Enter a Role Name
- Add a Description
- Configure permissions and policies
- Optionally toggle Set as Default

Roles are configured using three tabs:
User Options
Controls what users can do within channels and the application.
Includes permissions such as:
- Channel Rights
- Files Panel
- Channel Settings
- Reports Access
- DocuSign® Integration
- API Management
- NetDocuments® Integration
User Security Options
Defines default security policies applied to users in this role.
Includes:
- Default Channel Expiry
- Default File Retention
- Mandatory 2FA
- Open Access Password Requirements
- External User Privacy Restrictions
Admin Options
Controls access to administrative features.
Includes:
- Manage Users
- Manage Roles
- Security Settings
- Data Retention
- Manage Channels
- Billing & Payments
- And more
6. How Manage Roles Works (IMPORTANT SECTION)
For Non-Enterprise Plans
- Users can only assign default roles:
- Admin
- Standard User
- Custom roles cannot be created, edited, or removed
For Enterprise Plans
- Admins can:
- Create custom roles
- Edit existing roles
- Remove custom roles
Important:
- Permissions available in roles depend on what is enabled in Settings pages
- If a feature is disabled in Settings:
- It will not appear as an option in Manage Roles
Best Practice
To fully control access:
- Enable features in the relevant Settings pages first
- Then configure roles in Manage Roles
This ensures:
- Only relevant permissions are available
- Roles remain clean and easy to manage
