So you’re new to TitanFile and want to understand how to manage your TitanFile subscription. TitanFile has a variety of options and customizations available to help you meet your firm’s security standards and to make the end-users experience as seamless as possible.
This guide serves as a high-level rundown that will help you manage your TitanFile subscription.
Subscription Configurations
The Subscription Configurations section enables you to add custom branding and configure general options that are available to your subscription. These options will affect all users who are under your subscription.
To access Subscription Configurations for your TitanFile subscription, click Options and visit the Subscription.
Setting up custom branding
TitanFile offers the following custom branding options:
Company Logo |
You can add your own company logo. This will appear all throughout the instance, on the login page, within your secure submit instance and even on email notifications that are sent out from your instance. |
Global Email Footer |
This section enables you to provide your own language to be a part of email notifications that are sent out from your subscription. |
Data Residency |
This section serves to show where the TitanFile instance is deployed and where the data is uploaded. This cannot be changed via the options and is view-only. |

Subscription Options
The following options are available to your subscription:
Channels |
When a channel is deleted, it will move into the trash where it can be restored by channel admins. If the channel trash is enabled, deleted channels will remain in the trash for X days Channels will be permanently deleted X days after expiring. This option is available only if channel expiry is toggled on within the “Channel Options” tab in Options. |
Channels will be automatically deleted once expired. This option is available only if channel expiry is toggled on within the “Channel Options” tab in Options. |

Email Notifications |
Show the option for CC me under a user's profile options. |
Enable CC me by default for your subscription's users. CC me gives individuals the ability to provide notifications to themselves via email for every message they sent in TitanFile. Learn more. |
Managing Subscription Users
The Manage Users section enables you to make changes to individual users within your subscription.
To access the management of users for your TitanFile Instance please select the Manage Users tab within Options tab. Please find more details in the following support article - here.
Under the main page in Manage Users, you can find information on how many licensees you have used and how many are still remaining.
Adding Users
To assign a license to a new member, Click the Add User button and fill in the new member’s name and email address. They will receive a notification email to confirm their information.
Managing Individual Users
To further manage users select the Edit Member icon beside a user’s name.
While editing an individual user you will have the following options:

Subscription Rights |
Grants subscription administrator rights to the user. Learn more. |
Channel Rights |
Grants the user the same rights as the 'channel owner' of any channel they are added to within the same subscription. Learn more. |

Limited User |
Prevents the user from being able to create new channels. |

Show on Secure Submit List |
Adds the user to the organization’s Secure Submit list. Learn more. |

Member Actions |
Reset Password |
The user will receive an email with a link to reset their password. This action will invalidate their current password. |
Impersonate Member |
Enables you to delegate into the user’s account and perform actions on behalf of the user. Learn more. |

Transfer Channels |
Transfer all of the user’s channels to another subscription user. Learn more. |
|
Transfer Ownership |
Transfers subscription ownership to the user. The user must first be a subscription administrator. Learn more. |

Remove Member |
Removes the member from your TitanFile subscription and frees up a TitanFile license. Learn more. |
Channel Configurations
The Channel Options section enables you to configure the options that are available to all channels within your TitanFile subscription.
To access Channel Options, visit Options > Channels.
One important thing to note is that when you make changes to these channel options, you can apply them to all new channels, or toggle to apply the changes retroactively to all existing channels as well.
BCC |
Bcc, or blind carbon channel, is a handy tool which enables you to send the same message or file to multiple people at the same time without exposing the identities of channel contacts to the remainder of the group. It works just as it would in email. Learn more. Within Channel Options you do the following.

Channel Expiry |
To support data retention policies, we offer the channel expiry option, where either individual users can set expiry or there can be a global default for channel expiry. Both options are shown in this section. Learn more. |
File Retention |
To support data retention policies, we offer the file retention option, where either individual users can set expiry or there can be a global default for file expiry. We also offer an option that allows channel managers to edit file retention on individual channels. All three options are shown within this section. Learn more. |
Open Access |
Within your TitanFile subscription, you can allow individual users to enable the Open Access option within their channels. Open Access enables you to share content with anyone without them needing to sign up for a TitanFile account. Think of it as a shareable link. Learn more. We recommend that Open access is paired with Channel Passwords to add an extra layer of security. |
Open Invitation |
With this set of options, you can enable individuals to tag open invitation on or off within their channels or set a global default to allow/disallow open invitation. Open invitation allows non channel owners to add or remove contacts within a channel. |
Passwords |
Under passwords, you can enforce that all channels have a channel password. This is an added layer of security. Learn more. |
Read Only |
With these options, you can show the individual option to add read-only within a channel or enable read-only by default for newly created channels. A read-only channel means that contacts cannot add messages or upload files. |
Safe Notifications |
This option enables you to show the option of safe notifications under individual channels or enforce it by default for all newly created channels. Safe notifications are a privacy setting that takes out the message text and file names that come with a TitanFile email notification. Learn more. |
Two-factor Authentication (2FA) |
This option enables you to show the option of 2FA under individual channels or enforce it by default for all newly created channels. Learn more. |
Watermarking |
This option enables ou to show the option of watermarking under individual channels or enforce it by default for all newly created channels. Watermarking enables you to add custom text and images, as well as other options such as downloader name, downloader IP, and download timestamp. |
